How to Add to Outlook
New Outlook (Microsoft 365) — Download .htm Method:
- Click "Download .htm" to save the signature file.
- Find the downloaded
.htm file and open it in your web browser (Chrome, Edge, etc.).
- Press Ctrl+A to select everything on the page, then Ctrl+C to copy.
- In Outlook, click the Settings gear icon (top right).
- Go to Mail → Compose and reply.
- Under Email signature, click + New signature.
- Name your signature, click in the editor box, and press Ctrl+V to paste.
- Click Save, then set it as default for new messages and replies.
Quick Method — Copy & Paste:
- Click "Copy for Outlook" in the generator.
- In Outlook: Settings → Mail → Compose and reply → + New signature.
- Paste (Ctrl+V) into the editor box and click Save.
Classic Outlook (Desktop App):
- Click "Download .htm".
- Press Win+R, type
%appdata%\Microsoft\Signatures and press Enter.
- Move the
.htm file into this folder.
- Open Outlook → File → Options → Mail → Signatures → select and set as default.
Tip: The .htm method opened in a browser preserves all formatting including button images. The copy method is quicker but may simplify some styling.
